Reader’s Question:
I have an HP Officejet 4200 series printer/fax/scanner which I use for my home business here in Louisville, Kentucky along with my VoIP Phone service. I noticed I’ve been having increasing difficulties sending and receiving faxes lately since I switched to cable broadband, what could be the problem?
Philippe
Louisville, KY
Faxing is one of the biggest challenges usually experienced by people who rely on Internet phone service or VoIP service. Most of the time problems with faxing happens due to the fluctuating quality of your Internet connection, (if you are experiencing packet loss, jitter or latency issues), rather than the VoIP company itself, this determines whether you’re able to make and receive faxes successfully. It is a good idea to also optimize your fax machine for VoIP use. However, as some fax manufacturers will tell you, this may or may not work all the time.
Before you do adjust settings on your fax, call up your VoIP Company there in Louisville, Kentucky and see if they can test the quality of your Internet connection for you. Tech Support can usually tell you if the problem is with your broadband, (helping you report the problem and have it fixed) with your modem or VoIP device. Try to get a permanent resolution for this problem.
The next step is to optimize the fax; from your manual, adjusting the following settings will usually resolve your faxing problem with VoIP. First, adjust the Transmission speed (Baud rate) of your fax to ‘9600 bps’. Put faxing Resolution to ‘Standard’ and Turn off ‘ECM’ or ‘Error Correction Mode’. If it still doesn’t work well, try to set Rings to Answer to ‘Zero’, Answering mode to ‘Fax only’ and also enable ‘Overseas mode’. This should improve the overall reliability of faxing over VoIP.

Reader’s Question:
I’m putting up a medium-sized Law firm here in Sacramento, California and I’m wondering type of printer will best suite our needs?
Mathilde
Sacramento, CA
Due to the myriad of makes and models of printers out there, the most important thing about choosing a printer for your business is to consider exactly what your printing needs are, how often your staff will be using it and of course your budget. A high-end printer may not necessarily be the best choice and you wouldn’t want to get a printer that constantly breaks down due to overuse either.
If you are on a budget and prefer to save space, I suggest you get an all-in-one printer, scanner and fax. Not only does having one machine do all of your printing, copying and faxing needs make life easier, it also saves you more money in the long run since these machines tend to use standard paper sizes for everything, eliminating the need for you to purchase different paper sizes. An all-in-one is actually a good investment since you will only have to maintain and renew supplies for one machine. Imagine having to buy separate toner cartridges for a printer, copier or fax when they basically do the same thing as an all-in-one, print.
The drawback, obviously, is that if the one essential part of the machine goes out, say the LCD screen then the whole machine might be useless for other purposes too, so you’re essentially shut down if heavily reliant on printing or faxing, like most law firms are. You also would want to consider the number of people who will be using the printer, so speed and ease of use is essential to avoid long printer queues. The benefits of an All-in-one for your start-up firm in Sacramento, California, definitely outweighs the cons. HP and Canon have been known to produce reliable all-in-one’s and have helpful after purchase support, so you may want to begin you’re search there but just make sure you get a good warranty for these machines.

Reader’s Question:
I’ve had pretty good luck refilling inkjet cartridges before, but when they
sit around for a while they seem to go dry up? Is there a way or procedure for cycling and maintaining cartridges so I don’t have to waste time refilling them only to find out, after multiple alignments, cleanings, calibrations, and find out that they don’t work?
Gene
Salt Lake City, UT
If the printer cartridge sits inactive for a long period of time, ink may dry
in the nozzles. Ink Plug is a dried ink clogging a nozzle. Because of the ink plug, white streaks will be visible in the printed text or graphic. Ink plugs from the nozzles may not be removed by printing alone. To get better print quality, purge the ink plug. This is done by wiping the nozzle plate until ink is drawn out and absorbed into the cloth. Print then a few lines of text or graphics at high resolution.
Always keep the print cartridge in a place that is relatively dust-free and
that is not too dry.
You may also place the print cartridge in a Tupperware container with a damp sponge to prevent drying out.
When the print cartridge is ready to be used again the print cartridge
may need to be cleaned as well.

Reader’s Question:
How many times can I refill a cartridge? When is the best time to refill an inkjet cartridge and how will I know that it is time to use a refill with my inkjet cartridge?
Jim
Fort Wayne, IN
The number of times you may refill a cartridge varies depending on the
cartridge. In most cases, you can refill your ink cartridge about 8 to
10 times depending on the cost, this could save you between $300 and
$400.
It is important to refill an inkjet cartridge before it runs dry.
Once a cartridge has dried out, it is usually too late to refill it.
These inkjet cartridges have soft materials such as internal sponges
that can harden without the moisture provided by the presence of ink.
Streaking can usually indicate that your printer ink is running out.
Printing a test page can further inform you which colors are running low
and need to be refilled. If the ink cartridge does run dry - refill it
as soon as possible. Otherwise, the inkjet cartridge will dry out and block the print head.

Reader’s Question:
I have a Lexmark color printer, for my personal computer. And, I just bought extra ink cartridges for my future use. What is the best way to store color (and black) computer ink cartridges, so they do not dry out fast?
Linda
Charlotte, NC
That’s very good question.
Store toner cartridges in a cool dry place, always in the original box
with the arrows pointing up. Do not stand on end because the toner may
leak when you put the cartridge in the printer.
If there is a big difference in humidity or temperature between the
storage area and your office leave the cartridge near the printer for
a couple of hours.
When installing a cartridge, rock it slowly 45 degrees about its long
axis about five times to distribute the toner evenly.
The drum in the toner cartridge has a photo sensitive organic coating
that deteriorates when exposed to a strong light or high temperature.
The toner in the cartridge can also be affected by high temperature
(toner melts at 40 degrees Celsius) so do not place a
cartridge in direct light or near a window.
